What to get right
- Give the real number. Say the diagnostic or service call fee in plain dollars. A caller who gets no number assumes it’s high.
- Say what it covers. The trip, a licensed tech finding the problem, and a written price before any work starts. If you credit it toward the repair, say so.
- Pick one name and use it everywhere. Service call, diagnostic fee or dispatch fee: use the same term on the phone, in the confirmation text and on the invoice, so nobody is surprised at the door.
- Go straight back to booking. After the price, offer the first opening. Don’t leave a silence for “let me think about it” to fill.
The prompt
This is the Handle a price shopper workflow, word for word. Copy it, fill in the [brackets], and paste it into the AI tool your company uses.
Write a short phone response for price shoppers.
Service asked about: [repair / replacement / drain cleaning]
Our model: [diagnostic fee, flat-rate pricing, free replacement estimate]
Differentiators: [same-day, licensed, warranty, reviews]
Be honest about why we can't quote a repair blind, give a real number where we can (diagnostic fee), and offer to book. Include 2 versions: repair and replacement. Fill it in with the prompt builder → Open the full workflow
How to use it
- Fill in your fee, what it covers, and whether it’s credited toward the repair.
- List two or three differentiators you can back up: licensed, same-day, warranty, reviews.
- Generate both versions: repair calls, and replacement calls where your estimate policy is different.
- Practice until the CSR can say the number without a pause or an apology.
- Put the same sentence in your booking confirmation text.

Questions shops ask
Should we offer a free service call?
That’s a pricing decision, not a script one. A visit always costs you the truck, the drive and the tech’s time, so a “free” call gets paid for somewhere else in your prices. If you charge a fee, say it plainly. The truck roll cost calculator shows what a visit costs you.
Should the service call fee go toward the repair?
Some shops credit it when the customer approves the work that day; others keep it separate. Either works if the CSR says the rule the same way every time and it matches the invoice.
What if the caller says another company is cheaper?
Don’t argue. Say what your fee includes, offer the opening, and let them decide. A caller choosing only on the visit fee may not be a fit, and that’s fine.
