Help me organize a manufacturer warranty claim.
Equipment: [brand, model, serial, install date, registration date]
Failed part: [part, failure description]
Job info: [date, job #, tech notes]
Distributor/manufacturer requirements: [claim form, photos, return of part, labor allowance]
Checklist of what I need, a filled-out summary I can copy into the claim form, and a reminder of deadlines.
Before / after
Before: Claims denied because the serial number or registration was missing.
After (example output):
Checklist: model/serial photo ✓, install date (invoice 3/2021) ✓, registration confirmation (missing; pull from manufacturer site). Summary: Inducer motor failed, no-heat call 10/14, replaced under parts warranty. Return part within 30 days.
Tips
- Register equipment at install. It’s the #1 reason claims get denied.
- Use first names or job numbers instead of full customer details.
- Copy the final text back into your FSM or accounting system so the record stays in one place.
- Review every draft before you send it. You’re accountable for what goes out.
