Past due invoice email templates for contractors

Plenty of past-due invoices aren’t refusals. They’re forgotten, sitting on a property manager’s desk, or waiting on one question. A clear reminder with the amount and a way to pay takes care of those; the rest need a firmer note that follows your written policy. This prompt writes all three tones.

What to get right

  • Match the tone to the days. Friendly at 15 days, firm at 30, final notice at 60, following your own policy.
  • Make paying the easy part. Put the amount, the invoice number and a payment link or phone number right in the message.
  • Write to the right person. Homeowners, property managers and builders each need a different note. Property managers often need the work order number.
  • Final notice means what it says. Only mention next steps (late fees, collections, lien rights) that are in your written policy and that you’ll actually take.

The prompt

This is the Follow up on a past-due invoice workflow, word for word. Copy it, fill in the [brackets], and paste it into the AI tool your company uses.

How to use it

  1. Run an aging report and pick the invoices at 15, 30 and 60 days.
  2. Fill in the customer type, invoice details and what’s been sent before.
  3. Add payment options and the tone.
  4. Run the prompt, check the amount twice, and send.
  5. Log each contact so the next reminder builds on it.
